Recruitment & Retention Committee Guidelines for nominations to the Board of Directors

Guidelines
The Recruitment & Retention Committee will refer to the following guidelines for soliciting nominations to the Board of Directors and recommending candidates to the membership of AIDS New Brunswick. The Committee will also adhere to Board policies re: nominations.
- At least 90 days prior to each Annual General Meeting (AGM), the Recruitment and Retention Committee will assess Board vacancies and implement a call for nominations campaign as the committee deems necessary. This call for nominations will be widely distributed to AIDS New Brunswick clients and members, other AIDS organizations working in New Brunswick, and to New Brunswick communities in general. Free public service announcements and AIDS New Brunswick’s web site will also be used as a medium to promote the call for nominations. The call will include a deadline for applications. Persons living with HIV/AIDS (PLWHIV/AIDS) will be strongly encouraged to apply.
- Prior to consideration, applicants will be required to complete a Nominations Form, a Volunteer Application Form, a Membership Form and must include a letter stating why there are interested in joining the Board of Directors and what skills and experience they have to offer the organization. Two letters of reference must also be submitted with the application.
- The Committee will review applications and present a slate of candidates to the membership of AIDS New Brunswick at the Annual General Meeting. Anyone not recommended to the Board will be kept in Reserve Candidates files for consideration for future vacancies.
- The Committee will use the following selection criteria for recommending candidates to the Board of AIDS New Brunswick. The Committee will work to ensure:
- That the Board maintains up to 12 and no less than 9 members.
- A slate of candidates with a broad range of skills, knowledge, and experience.
- A slate of candidates that aims to diversify Board membership. Membership will be encouraged from persons living with HIV/AIDS women, men, young people, persons with disabilities, Aboriginal persons, members of visible minorities.
- Bilingual representation.
- A slate of candidates that fulfills Board requirements for PLWHIV/AIDS designated seats.
- A slate of candidates that fulfills Board requirements in terms of geographic representation – four Board seats are reserved for representation from the seven Health Regions of the province.
- In the event of an unanticipated vacancy (e.g., the resignation of a Board member), the Committee can recommend the appointment of a candidate from the current Reserve Pool of candidates. Files for the Reserve Pool of candidates will be maintained at the AIDS New Brunswick office. Note: All appointments must be ratified by the membership at the next Annual General Meeting.
